Docs
The Docs tab holds the group’s own papers, like the constitution, AGM minutes, and anything else worth keeping. They can be kept in folders.
Reading them
Anybody signed in can read and download them. Tap a folder to open it, and a document to open or save it.
The heading says which folder you’re in, like Docs / Kit. Tap Docs, or a folder’s name in it, to go back up.
They aren’t on the open web, so nobody outside the group can get at them.
Putting them in order
Press Sort, at the top of the tab, to change the order of the documents. Each press moves to the next order. The button says which one is showing.
- Date: newest first. The tab always opens like this.
- Name: A to Z.
- Size: largest first.
- Type: each kind of file together, like all the PDFs.
Folders stay at the top, A to Z, whatever the order. The order is kept as you go in and out of folders. The button only appears where there’s more than one document.
Looking after them
Putting documents up, taking them down and arranging the folders belongs to whoever holds the office for it (the offices table says which). They press Manage, at the top of the Docs tab, and Done to go back.
Putting a document up
- Press Manage.
- Under Add a document, say what it is in What it is, and choose the file.
- Check Put it in. It starts on the folder you’re in, so opening the right folder first saves choosing it here.
- Press Upload. You’ll land in the folder it went into.
Arranging the folders
- Make the folder: type a name under A new folder first. It goes inside the folder you’re in.
- This folder: open a folder to rename it, or to move it into another with Inside, then press Save.
- Remove this folder: only once it’s empty, so nothing goes with it by accident.
- Move: tick documents, choose a folder under Move the ticked documents to, and press it.
- Remove: takes one document down, once you’ve said yes. History, at the foot of the tab, shows what was taken down, and by whom.
Storage size
The group can keep 1 GB altogether. That’s everything: the files on every tab, the events and everybody’s answers, and the rest of what the app keeps for the group.
Manage shows how much is used, and what’s using it. When it’s full, a new file is refused until something is taken down.
For example, with 30 MB of room left, a 60 MB recording won’t fit. It will once another 30 MB or more has been taken down.
