Looking after an event

Every event can name a member who’s looking after it. When an event is yours, You are looking after this appears above its name, on the grid and on its own page.

Whoever is looking after an event can edit it, and so can admins and whoever holds an office that edits events. If nobody is named, anybody can edit it.

Once a week, you also get a summary of who has said yes to your events and what’s changed.

Editing an event

Editing uses one form with one Save button. Nothing is saved as you type, and Cancel throws your changes away. If you try to leave with changes unsaved, it asks first.

An event can be split into parts, like camping and coach. It’s still one event, but each part gets its own line on the grid with its own totals. Parts are added, renamed and removed on the same form.

An event always needs at least one part, so the last one can’t be removed.

Adding, moving or cancelling an event tells the group, so those three are worth getting right first time.

Removing an event

Removing an event takes it off the sheet, but keeps every answer given to it.

Chasing

The Blank total on the grid is the number worth chasing, and the event’s own page lists exactly who hasn’t said. The Weekly Digest is the only chasing the app does, reminding everybody about events they haven’t answered. Anything more is up to you: a phone call, a text, or a word at practice.

Confirmed bookings

To confirm an event, edit its details and tick Confirmed.

Once an event is confirmed:
